What To Do When Drives Fail

Emergency response guide for data loss situations - immediate steps to take when disaster strikes.

Quick Action Steps

When a drive fails, your immediate actions can mean the difference between full recovery and permanent data loss. Follow these steps:

1 STOP Using the Drive Immediately

The moment you suspect drive failure, stop all activity on that drive. Every additional read/write operation can overwrite recoverable data or cause further physical damage.

  • Don't: Continue working on the drive
  • Don't: Try to save more files to it
  • Don't: Run disk repair utilities
  • Don't: Restart the computer multiple times

2 Power Down Safely

If you hear clicking, grinding, or other unusual sounds, power down immediately:

  • For desktop computers: Shut down properly if possible
  • For external drives: Safely eject, then disconnect
  • For laptops: Close properly and don't restart

3 Document Everything

Write down or record the following information:

  • What symptoms did you observe? (sounds, error messages, performance issues)
  • When did the problem start?
  • What were you doing when it failed?
  • Have there been any recent changes? (drops, spills, power issues)
  • Take photos of any error messages

4 Check Your Backups

Before anything else, check if you have recent backups:

  • Do you have a recent backup?
  • When was it last updated?
  • Are the backup files accessible?
  • Does the backup contain all critical data?

If you have a complete recent backup, you may not need professional recovery. If your backup is outdated or incomplete, proceed to step 5.

Meaning: Mechanical failure of read/write heads or spindle motor
Action: Power down immediately, contact professionals

Extreme Slowness

Meaning: Bad sectors or imminent failure
Action: Back up immediately, then get professional assessment

Drive Not Recognised

Meaning: Controller failure, connection issue, or complete failure
Action: Check cables first, then seek professional help

Files Won't Open

Meaning: File system corruption or bad sectors
Action: Stop using drive, seek professional recovery

NEVER Do These Things

  • Open the drive yourself
  • Freeze the drive
  • Use data recovery software on physically damaged drives
  • Keep trying to restart it
  • Swap circuit boards without expertise
  • Hit or shake the drive

These "fixes" almost always make professional recovery impossible. When in doubt, contact experts first.
